There’s a tremendous amount of information required to efficiently run a swim club like ours. As a volunteer-driven organization, one of the greatest challenges is ensuring a knowledge transfer occurs as members take on new roles.
The Fairway Farms Swim Club Wiki was created in 2020 to fulfill this need. Any information deemed fit for public consumption (though primarily intended for members) can be posted on the Wiki. No proprietary or sensitive information should appear on the Wiki – this includes but is not limited to information related to financials, personnel, or security.
The Wiki operates on the same software as Wikipedia – though to minimize the overhead of unapproved edits, only a small group of members have modification rights. We’re open to feedback though – comments, thoughts, or suggestions can always be sent to the board.
Many of the pages on the Wiki a still a “work in progress”. They are regularly updated as new information and “free time” from the volunteers becomes available.
Staff and Board Information
Updated job descriptions for each board position are maintained by board members. Procedures and responsibilities for the manager and staff are updated in an information section.
Asset Registry
The asset registry was created in 2021 based on information initially developed by the Capital Assessment Committee in 2020. It is now maintained by Building & Grounds.
The asset registry attempts to identify all club assets and estimate the investment needs over the next 20 years based upon various factors. As often happens, the needs outweigh the budget, so each year a set of improvement projects are considered by the board. That said – the gap can be narrowed by volunteers!
Club History
To better understand where we’ve been, a club history page has been created. As of February 2022, there are a lot of gaps. Any member with old newsletters, documents, or knowledge of historical events is encouraged to contribute by contacting us.
Pool Systems
One of the most difficult responsibilities a Building & Grounds volunteer or manager assumes is maintaining the pool. To some extent, we rely on an outside contractor – but this can get expensive, quickly. Ideally, the club performs all pool maintenance outside of opening, closing and most major projects.
To start, an introduction page describes the pool systems from a high level. Though quite complex, the process flow diagram is the go-to for understanding how all systems interconnect.
Individual pages for the chemical controller, chlorinator, main pump motor, sand filters and surge tank describe each system in further detail.
The boiler maintains the pool temperature via the pool temperature controller, and is further monitored by its own temperature controller.

Pool Automation System
Did you know that in 2020, a long-term effort to automate our pool systems was kicked off? Funded mostly by volunteer effort and materials, this system is intended to improve the longevity and reliability of the pool systems.
Miscellaneous Systems
For the sake of maintenance and planning, it’s important to understand our electrical system, lighting, plumbing and fixtures. For instance, the water gate valve must be properly turned every season. Each of these pages is (or should be!) updated regularly as new lessons are learned and upgrades are made.
